Privacy Policy

How Linkify collects, uses, shares, and protects information across our website, workspace application, short links, QR codes, bio pages, landing pages, and analytics tools.

1. Scope and who we are

Linkify is operated by Resource Communications in South Africa. This Privacy Policy applies when you visit linkify.global, create or use a Linkify account, join a workspace, contact us, or interact with a Linkify-hosted short link, QR code, bio page, landing page, or subscriber form.

For account administration, product operations, billing, security, and our own website, Linkify generally acts as the responsible party or controller. When a customer uses Linkify to publish content, collect subscriber details, or analyse campaign visitors, the customer determines the purpose of that processing and Linkify generally acts as its operator or processor.

2. Information we collect

The information we collect depends on how you use Linkify.

  • Account and profile information, including name, work email, password hash, profile image, timezone, email-verification status, notification preferences, and login history.
  • Workspace and commercial information, including workspace name, members, roles, plan, usage, trial or subscription status, billing contact, and support notes.
  • Customer content, including destination URLs, aliases, campaign data, QR configurations, bio and landing-page content, uploaded media, custom domains, forms, and subscriber tags.
  • Subscriber and lead information submitted through customer pages, such as name, email, phone number, message, custom fields, consent-related information, and gated-download activity.
  • Usage and analytics information, including timestamps, referrers, device and browser signals, user agent, event type, campaign parameters, and pseudonymous visitor or IP hashes associated with clicks, scans, views, and conversions.
  • Technical and security information, including session identifiers, authentication attempts, audit events, abuse indicators, and diagnostic information.
  • Communications you send to Linkify, including support, privacy, abuse, sales, and administrative requests.

3. Where information comes from

  • Directly from you when you register, configure a workspace, upload content, submit a form, or contact us.
  • Automatically from your browser or device when you use the service or interact with a tracked Linkify asset.
  • From workspace owners or administrators who invite you, assign a role, or manage your account.
  • From customers whose public pages, links, forms, or campaigns you choose to interact with.
  • From service providers used for infrastructure, email, security, payments, support, and analytics when those providers are configured.

4. Why we use information

  • Provide, secure, maintain, and improve Linkify and fulfil our agreement with customers.
  • Authenticate users, manage workspaces and permissions, and protect accounts from misuse.
  • Create redirects, QR experiences, public pages, forms, reports, and campaign analytics requested by customers.
  • Process subscriptions and communicate about plans, service notices, security, verification, and support.
  • Measure service performance, diagnose failures, prevent duplicate or automated traffic, and develop features.
  • Detect prohibited, fraudulent, phishing, malware, abusive, or unlawful activity and enforce our terms.
  • Meet legal, regulatory, tax, accounting, dispute-resolution, and law-enforcement obligations.

Depending on the context and applicable law, we rely on performance of a contract, legitimate interests, consent, compliance with legal obligations, or another recognised lawful basis.

5. How information is shared

We do not sell personal information. We may share it only as reasonably necessary with:

  • The workspace owner, administrators, and authorised members according to their roles.
  • Infrastructure, hosting, storage, email, payment, security, customer-support, analytics, and professional service providers acting under appropriate obligations.
  • Third-party services that a customer deliberately embeds, links, or connects to Linkify.
  • Authorities, courts, regulators, or other parties where disclosure is legally required or needed to protect rights, safety, and the integrity of the service.
  • A successor in connection with a merger, financing, acquisition, reorganisation, or sale of all or part of the business, subject to appropriate safeguards.

6. Public content and customer responsibility

Short links, QR codes, published bio pages, and published landing pages may be publicly accessible. Customers control what they publish and must have a lawful basis for any personal information, tracking technology, forms, media, or third-party embeds they add.

If you submit information to a customer-created page, that customer is responsible for its privacy notice and use of your information. Contact the customer first for requests about content or data it controls; Linkify will assist where required.

7. International processing

Linkify is based in South Africa, while service providers and customers may operate elsewhere. Information may therefore be processed in countries with different data-protection laws.

Where required, we use recognised safeguards for cross-border transfers, which may include contractual protections, transfer assessments, and Standard Contractual Clauses.

8. Retention

We retain information only for as long as reasonably necessary for the purposes described above, including providing active workspaces, maintaining security and audit records, resolving disputes, and meeting legal obligations. Retention depends on the record type, workspace settings, account status, contractual commitments, and applicable law.

Customers are responsible for choosing suitable retention periods for customer content and subscriber data. Backups may retain deleted information for a limited recovery period before secure expiry.

9. Security

We use administrative, technical, and organisational safeguards designed to protect information, including role-based access, password hashing, secure session controls, audit logging, upload validation, workspace isolation, and abuse controls. No online service can guarantee absolute security.

10. Your choices and rights

Depending on applicable law, you may have rights to:

  • Ask whether we hold personal information about you and request access to it.
  • Request correction, deletion, restriction, objection, or portability where applicable.
  • Withdraw consent without affecting processing already carried out lawfully.
  • Opt out of non-essential communications and manage available notification preferences.
  • Complain to the South African Information Regulator or another competent supervisory authority.

11. Children

Linkify is intended for business and professional use and is not directed to children. Do not use Linkify to collect children’s personal information without an appropriate lawful basis, notice, consent, and safeguards.

12. Changes and contact

We may update this policy as Linkify changes. Material updates will be communicated through the service or another appropriate channel. Questions or privacy requests can be sent to privacy@linkify.global.
